Accounts Payable Specialist

 

The role of the Accounts Payable Specialist is to perform various tasks, which include filing, typing, verifying mathematical accuracy, assigning distribution codes, and balancing to statements in order to process invoices for payment in a timely fashion


Roles & Responsibilities:

  • Input invoices with accuracy to ensure proper payment
  • Weekly processing of checks including preparation for mailing
  • Input and assign distribution codes to credit card receipts and balance to statement
  • Prepare correspondence, checks, and reports as necessary
  • Print out FPL’s and match receipts and enter them into Viewpoint
  • Establish and maintain files as director for accounts payable and general accounting documents
  • Compare vendor invoices to purchase orders to verify quantities, price, payment terms, and freight charges
  • Compute invoice discounts, make sales/use tax determinations, and sorts invoices for payment
  • Resolve discrepancies on invoices or reports by interacting with various departments, vendors, and clients
  • Maintain records on equipment rental, assist with invoice preparation and invoice distribution
  • Prepare required daily, weekly, monthly, annual, and job-to-date reports
  • Maintain Company fixed asset and depreciation schedules
  • Maintain a file of annual corporate income tax documentation
  • Prepare monthly, quarterly, and annual tax filings and 1099 reporting including gross receipts/commerce tax returns as necessary
  • Miscellaneous bank and credit card reconciliations monthly


Qualifications:

  • Five to ten years of related experience and/or training or an equivalent combination of education and experience
  • Ability to resolve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Ability to interpret a variety of instructions in written, oral, diagram, or schedule form
  • Ability to effectively present information and respond to questions from managers, clients/vendors, and the general public


Education Requirements:

  • High School diploma or equivalent


Pay Range:

  • $21.00/hour-$30.00/hour
