Special Projects Assistant

 

Position Summary:

Provide administrative support to one or more departments including project administration, marketing, estimating, and reception.

 

Roles and Responsibilities:  

  • Prepare, track, and follow-up on assigned documents
  • Prepare and maintain project information in ViewPoint software; initiate and set up projects in the network; prepare and maintain all necessary files
  • Maintain all project profiles
  • Prepare and maintain miscellaneous correspondence and other similar documents
  • Maintain professional communication between project team, owner, architect, subcontractors, suppliers, co-workers, and management
  • Assist administration, estimating, marketing, and reception in miscellaneous assigned tasks
  • Assist with special and miscellaneous projects
  • Maintain logowear in marketing vault
  • Maintain marketing materials including project sheets and resumes
  • Work with Director of Marketing to maintain company website and social media accounts
  • Assist Director of Marketing with proposals and interview presentations

 

Qualifications:  

  • Must have basic knowledge of the construction industry terminology
  • Must be proficient in Microsoft Office, Adobe Creative Cloud, and Word Press
  • Must be able to multi-task
  • Must have strong written and verbal skills and excellent computer skills
  • Must be self-motivated, energetic, creative, organized, and have an acute attention to detail
  • Ability to efficiently meet deadlines and maintain confidentiality
  • Ability to problem solve and be resourceful
  • Ability to perform basic mathematical functions
  • Ability to follow instructions
  • Ability to listen, direct, and delegate as needed
  • Viewpoint software experience preferred, but not required

 

Education Requirements:  

  • Bachelor’s degree (Business, Marketing, English, Journalism, or Communications preferred) plus minimum of three years’ experience in professional business setting
