Special Projects Assistant
Position Summary:
Provide administrative support to one or more departments including project administration, marketing, estimating, and reception.
Roles and Responsibilities:
- Prepare, track, and follow-up on assigned documents
- Prepare and maintain project information in ViewPoint software; initiate and set up projects in the network; prepare and maintain all necessary files
- Maintain all project profiles
- Prepare and maintain miscellaneous correspondence and other similar documents
- Maintain professional communication between project team, owner, architect, subcontractors, suppliers, co-workers, and management
- Assist administration, estimating, marketing, and reception in miscellaneous assigned tasks
- Assist with special and miscellaneous projects
- Maintain logowear in marketing vault
- Maintain marketing materials including project sheets and resumes
- Work with Director of Marketing to maintain company website and social media accounts
- Assist Director of Marketing with proposals and interview presentations
Qualifications:
- Must have basic knowledge of the construction industry terminology
- Must be proficient in Microsoft Office, Adobe Creative Cloud, and Word Press
- Must be able to multi-task
- Must have strong written and verbal skills and excellent computer skills
- Must be self-motivated, energetic, creative, organized, and have an acute attention to detail
- Ability to efficiently meet deadlines and maintain confidentiality
- Ability to problem solve and be resourceful
- Ability to perform basic mathematical functions
- Ability to follow instructions
- Ability to listen, direct, and delegate as needed
- Viewpoint software experience preferred, but not required
Education Requirements:
- Bachelor’s degree (Business, Marketing, English, Journalism, or Communications preferred) plus minimum of three years’ experience in professional business setting
