Assistant Controller
The role of the Assistant Controller is to provide high-level administrative support by performing clerical functions.
Roles & Responsibilities:
- Prepare and submit quarterly and annual payroll taxes
- Review and investigate any billing discrepancies
- Maintain project-related records (i.e. contracts, leases, bank accounts, payroll)
- Monitor bank accounts
- Be knowledgeable of the operation of all office equipment, personal computers, and communication system
- Open, sort, and distribute incoming and outgoing correspondence including faxes and email
- Assist Controller with payroll and HR-related tasks
- Reconcile intercompany payables
- Maintain records for insurance terms
- Maintain and monitor company cellphones, air cards, and jetpacks
- Manage subcontract payables for specific projects
- Assist with close-out material and IT-related tasks
- Enter cash receipts into accounts receivable log and ERP system
- Balance aged receivables from ERP system to the internal accounts receivable log
- Balance monthly deposit report to the bank statement
- Enter monthly project billings in the contract billing report and interface in ERP system
- Create monthly accounts receivable log
- Balance general ledger revenue accounts with the contract billing report
- Enter miscellaneous invoices in the accounts receivable log
- Prepare status of work report and balance to the contract billings
- Review and sign owner lien releases
- Monthly reconciliation of clearing and petty cash accounts.
- Assist with the preparation of various monthly, quarterly, and annual company tax returns/reporting
- Open and Close projects in ERP system

- Ability to understand and follow verbal and written instructions and read and comprehend written materials
- Ability to work with minimal supervision, prioritize, and be flexible with daily work schedule
- Ability to take initiative and be a self-starter
- Intermediate knowledge of Word, Excel, and Outlook software
- Maintain confidentiality is mandatory
- Ability to use a common sense approach to handle situations
- Ability to maintain effectiveness in varying environments with varying tasks, responsibilities, and/or people
- Ability to consistently meet deadlines and to effectively perform daily tasks
- Thorough knowledge and usage of grammar, punctuation, and overall business writing as they pertain to this position
- Experience with processing payroll through a third-party vendor
Education Requirements:
- Bachelor’s Degree in Accounting or equivalent; or 5 years accounting experience in related experience and/or training; or equivalent combination of both education and experience
Salary Range:
- $50,000-$75,000
